Billing for Agencies: the Agency Fee and Client Plans

Learn how agency billing works: the agency fee, a separate plan for each client account, who is notified, and what a client sees.

An agency in Pertento pays two kinds of fee: the agency fee, for the agency itself, and a plan for each client account. The agency pays both, and is the customer for every client account it manages.

The agency fee

Set it up in Settings then Billing, in the Agency fee panel. Choose Monthly or Annual, save 20%, then Start free trial. The agency fee starts with a 12-day free trial; client plans do not.

The agency's own account is included in the agency fee, and the Plan panel says so.

A plan for each client

Each client account has its own plan, its own session allowance, its own AI credits and its own plan period. Nothing is pooled across clients: a quiet client's unused sessions do not cover a busy one.

You choose a client's plan when you add the client. Add a client asks for the client's details, then Choose a plan for the client. The plan is billed to your agency, and nothing is created until you accept.

The Clients table

The Clients table on the billing page lists every client with its plan and sessions. Its actions are:

  • Choose a plan: for a client without one.
  • Manage plan: change the client's plan.
  • View usage: switch the Plan, Plans, AI credits and usage panels to that client.

Show all goes back to the full list. Plan changes for a client follow the same rules as any plan change: upgrades apply straight away, downgrades at the start of the next period. See Starting a Trial and Changing Your Plan.

Who is notified

Every billing notice for a client account, including the 80% and 100% usage notices and a plan move, goes to the agency's Owners and Admins.

What the client sees

People from the client's own organisation see their plan on the billing page as billed through your agency, with no buttons to change it. If you have not chosen a plan for a client yet, the client's account is read-only until you do.

The monthly usage report

The Usage report CSV lists a month's sessions by client and website, which is the simplest way to pass usage on to clients. See Payment Details, Invoices and Cancelling.

Removing a client

Removing a client cancels its plan and permanently removes the client account from yours. This cannot be undone.

If the agency fee is not paid

Serving stops for the agency's own account and for any client account included in the fee. A client account on its own paid plan keeps serving. A client account can be transferred to the client only with the agency's written consent.
